Cancellation & Refund Policy

Skills Clinics, Weekly Programs & Single-Day Events

Before the Registration Deadline

(At least 48 hours before the event unless otherwise noted)

• A refund will be issued minus a processing fee
• Processing fee is:

  • $10 for programs under $100
  • $20 for programs $100 and over
  • Or as listed on the event registration page

After the Registration Deadline

• A 50% credit will be issued for future Wheels Up programs
• Credits are not refundable and must be used for a future event
• No refunds or credits once an event has started unless a medical note is provided


Skills Clinic Specific Policy (72-Hour Window)

• Refunds are available up to 72 hours before the event
• Cancellations within 72 hours may be transferred to a future clinic
• The rider must attend the next available clinic
• If the rider does not attend, no additional refund or transfer will be issued


Multi-Day Camps (Summer Camps & Specialty Camps)

Because camps require advance staffing, permits, and equipment planning, the following policies apply:

Two Weeks or More Before Camp Starts

• A household credit will be issued for future programs
• A $25 processing fee per child, per week will be deducted
• Requests must be submitted at least 14 days before camp begins


Less Than Two Weeks Before Camp Starts

• A 50% credit will be issued
• Credits may be used toward future Wheels Up programs
• No refunds or credits once camp has started unless a medical note is provided


Camp Transfers

• Transfers after the registration deadline are subject to a
$10 transfer fee per child, per week


Team Programs (Enduro & XCG Teams)

Team programs require long-term planning, coaching commitments, and reserved resources.

• All team registration fees are non-refundable once a rider has been accepted and recorded
• This policy helps ensure program stability and season-long planning


Missed Events Due to Personal Scheduling

• No refunds, credits, or make-up sessions are provided for missed events due to personal conflicts, travel, or scheduling changes. Please reach out we are willing to work with you if you communicate with us on what going on.


Medical Illness or Injury

• Refunds or credits may be issued with a doctor’s note confirming illness or injury
• Each request is reviewed on a case-by-case basis


If Wheels Up Cancels an Event

• A full refund will be issued if Wheels Up cancels a program or event
