Wheels Up MTB Cancellation & Refund Policy – 2025
At Wheels Up MTB, we recognize that plans can change due to unforeseen circumstances. Our cancellation and refund policy is designed to offer flexibility while maintaining the integrity of our programs. Please review the guidelines below to understand our policies for Skills Clinics, Multi-Day Camps, and Team Registrations.
Skills Clinics & Program Refund Policy
Cancellation Prior to Registration Deadline
A refund will be issued, minus a processing fee:
- $10 for program fees up to $99
- $20 for program fees of $100 & over
- OR as specified on the event registration page
Cancellation After Registration Deadline
- A credit for future programs/reservations will be issued, totaling 50% of the fee paid.
- No refunds or credits will be issued once a program has begun, unless a medical statement confirming injury or illness is provided.
- 72-hour cancellation policy for Skills Clinics: Refunds are only available up to 72 hours before the event. If canceling within 72 hours, funds can be transferred to a future event; however, the rider must attend the next scheduled event. If the rider does not attend, no refund or additional transfer will be made.
Team Registrations
- All team registration fees are non-refundable once a participant has been accepted and recorded.
- This policy ensures financial stability and maintains the program’s budget for the season.
Missed Programs Due to Personal Reasons
- No credits, refunds, or make-up sessions will be provided for programs missed due to personal scheduling conflicts.
Medical Illnesses & Injuries
- A refund or credit will be granted only with a doctor’s note confirming the medical condition.
Program Cancellation by Wheels Up
- If Wheels Up cancels a program, a full refund will be issued to all registered participants.
Multi-Day Camps – Refund Policy
Our Multi-Day Camps are designed to provide an engaging, structured, and high-quality experience. The following refund policy applies:
Cancellation Prior to Registration Deadline
- A household credit for future programs/reservations will be issued.
- A $25 processing fee per child, per week will be deducted from the credited amount.
- All camp credit requests must be made at least two weeks before the camp’s start date.
Cancellation After Registration Deadline
- A credit for 50% of the fee paid will be issued.
- No refunds or credits will be provided once camp has started unless a medical statement is provided.
Camp Transfers
- After the registration deadline, a $10 transfer fee per child, per week will apply for transferring to another camp session.
